Apartment 11 Productions is seeking an
EXECUTIVE ASSISTANT for the President/Executive Producer

In this full-time position, the Executive Assistant will provide administrative support to the President and Executive Producer of Apartment 11 Productions, a Montreal-based producer of internationally top-rated programs for families, kids and adults including long running series Mystery Hunters, Prank Patrol and Finding StuffOut.

The successful candidate will perform a wide variety of administrative support services, ranging from complex to routine, all of which contribute to the efficient and professional operation ofthe company. The successful candidate must be results-oriented and have previously demonstrated the ability to effectively prioritize workflow.

The successful candidate must have a genuine appreciation for and understanding of protocol, discretion and professionalism, be able to accept and assume responsibility, and have the ability to interpret and make decisions in accordance with prescribed procedures and practices ofthe organization. In order to provide effective and efficient services, the successful candidate should be flexible in terms of hours of work.

KEY RESPONSIBILITIES INCLUDE:

• Manage, maintain, and assist with time management ofthe President’s schedule (including co-ordination ofthe schedules, appointments, reservations and travel arrangements).
• Screen phone calls and arrange and initiate conference calls/Skype calls.
• Prepare and/or edit internaI and external correspondence (emails, memos, letters) and maintain files.
• Open, sort and distribute incoming correspondence (including mail and email).
• Provide staffing recruitment support.
• Conduct corporate and business development related research.
• Plan, organize and co-ordinate functions and special events, including scheduling aIl meetings at business markets.
• Ensure the President is sufficiently prepared and briefed before each meeting. Prepare agendas and make arrangements for meetings as required.
• Assist with the preparation of business presentations.
• Respond to routine inquiries on behalf of the President.
• Attend meetings and conference calls to follow up on action items when required.
• Be connected via mobile device and monitor critical items (including appointment rescheduling) outside of regular office hours.

MINIMUM QUALIFICATIONS

• A Bachelor’s degree or equivalent combination of education and experience.
• Minimum 3 years previous experience in a senior administrative position. (Experience in a media production is an asset).
• Fully bilingual
• Strong computer skills (Le. MS Office – Word, Excel, Power Point and Outlook, Google Drive/Drop Box)
• Comfortable with smart phone (calendar, mail, messaging)

• Excellent interpersonal, written and oral communication skills.
• Ability to exercise good judgment, show initiative and be proactive.

Established in 2000 by Jonathan Finkelstein, Montreal based Apartment 11 has produced more than 400 half-hours of television. Its many awards include a Peabody Award, three [apan Prizes, multiple Geminis (Canada’s top television awards) and The Viewers’ Choice Kidscreen Award. Additionaly, Apartment 11 shows have been nominated for an International Emmy and a Prix Jeunesse International.
